Email Survey Using Contact Manager

This feature allows you to email survey to contacts from the Contact Manager.

To email your survey to the contacts from the Contact manager click the Go button next to the E-mail survey distribution option on the survey Launch page, and then:

  1. Click the Edit Email button to compose your message. For details consult the Edit Email help chapter.
  2. Select the E-mail survey to people from Contact Manager option.
  3. Click the Select/Change Contacts button to add o remove contacts from the distribution list. For more details consult the Contact Groups help chapter.
  4. You can update selected contacts with the new data from the submited survey. For example: when respondents change their living address, job position, email and other personal details, you can update contact records with the up-to-date information. You can also prepopulate survey questions with the data from the Contact Manager. Click the Setup Data Flow button, apply field mappings and data flow direction.   5. Decide on anonymity:
  6. Click the Send/Schedule Email button to send e-mail invitations immediately or to schedule them on a particular date in the future.
Note

  • If you sent email to certain respondents and they submitted the survey you can send the same email to the same email addresses again. This feature is useful if you need to ask the respondents to submit your survey from time to time. Keep in mind that you should select "Allow multiple responses - only applies to Master URL" rule in this case. Every time respondents receive emails, unique links are generated and new records are created in the report.
  • If you sent email to the respondents and they did not submit the survey, respondents can receive email only through the Email Reminder or after respondents' email addresses are removed from the list of Incompletes on the Manage Responses page.
  • You will not receive mailing statistics if no email was sent due to the reason mentioned above.
  • If the "Do not allow respondent back into survey" or the "Respondent may return and modify their response" rules have been set, and you add more contacts, then the survey will go only to those additional contacts.
  • If the "Allow multiple responses" rule has been set, and you add more addresses launching the survey for the second time, it will go to all the new addresses and to all the respondents who have already completed the survey of the first launch.
