Contact Manager is an advanced storage for your contacts. You can create single contact records and distribution lists, and then use these lists for different distribution campaigns.
If there have been no contacts created yet
- Create Contact Manager from Scratch Select this option if you want to add contacts to the Contact Manager manually one by one. Setting up contact manager fields is the first action to do when creating contacts within an account for the first time. You can find detailed description of this feature below.
- Import File with Contacts This option allows adding contacts to the Contact Manager in batches. For more details consult Synchronization help chapter.
Contact Groups In the left pane of the Contact Manager you can create new, view and manage existing contact groups. Consult the Contact Groups chapter for more details.
To add new contact to the list manually click the Add Contact button. To edit existing contact click the Edit link next to the contact and then:
- Input contact details into the corresponding fields.
- Field that has been set as a unique key is marked as Contact ID. You can assign your own value to this field or select the Generate unique value automatically option to automatically generate random contact ID value, which then cannot be customized.
- For new contacts the default status is Active. This means that contact can participate in the surveys and can be used in the distribution lists. The Not Active contacts can not be used for survey distribution.
- Save & New saves current record and opens blank form for new contact.
- Click Save to save contact.
- Click Back to go back to the Contact Manager home page.
There are two view modes of the contacts list:
- Profile Information - this mode shows contact profile fields.
- Response Statistics - in this mode response statistics will be displayed in the last column. For more details see the Response Statistics Settings section.
To search contacts within the Contact Manager enter a search criteria into the Search Contacts field, select a field or a contact property you want to search contacts by and click the Go button.
Edit Profile Fields Contacts Manager fields are used to keep contacts data, for example contact name, email address, position and other. To add new fields, to edit or delete existing fields follow the steps listed below:
- If you create Contact Manager from scratch you will be redirected to the Edit Fields page automatically.
If your Contact Manager fields has already been set, click the Edit Profile Fields button at the bottom of the contacts list.
- Type in field labels, these labels will be displayed on the Contact Manager home page.
- Format Select data type that will be stored within the field, this will prevent you from entering incorrect field values.
- Unique Key is an unique contact identifier within the Contact Manager. It is used to prevent contacts duplication, as well as to identify contacts for survey distribution and reports. You can use any field to be the unique key, except the Email field.
- Email Indicate the field that contains contacts email addresses.
- Delete Click this button next to the field you want to delete. You cannot delete field if there are contacts in the Contact Manager with the filled data in it.
- Click New Field link to add empty line for a new field.
- Click the Add Field button to save new field to the Contact Manager.
Click Save to save changes.
Click Back to go back to the Contact Manager home page.
Note
If contact field is used for verification within the Participant Portal, you are not allowed to change its type.
Response Statistics Settings You can set up and view the response statistics per each contact using Contact Manager. Statistics is based on the scores assigned to the contact upon participating in your surveys. To set up the statistics follow these steps:
- Click the Settings button at the bottom of the contacts list.
- Assign values to the contacts based on their actions:
- Registration score is assigned to new contacts that are registered via the survey with the
Register to the Contact Manager plugin applied.
Those who correctly fill out the survey will be automatically added to the Contact Manager and will be
assigned with the score you set up.
- Started Survey score is assigned when respondent starts new survey.
- Finished Survey score is assigned for each new submitted survey.
- Based on the assigned scores indicate the value to highlight contacts if their score is below the indicated range.
- If you want to exclude from your distribution campaigns those respondents who do not participate in your surveys, indicate the number of days after which such contacts should go inactive.
Note
Maximum score is a sum of Registration, Survey Started and Survey Finished scores.
Import You can synchronize your contacts with the external data sources such as delimited data files. For more details consult Synchronization help chapter.
Delete Contact Select the contact you want to delete and click the Delete Selected button.
You can delete multiple contacts at once.
Export If you want to export your contacts list to Excel or CSV click the Export button and choose appropriate option. Popped-up dialog box allows you to open exported data or to save it locally on your computer.
Managing contacts
To manage contacts list mouse over on the arrow next to the column name.

- Sort Ascending - sorts contacts ascendingly by selected column.
- Sort Descending - sorts contacts descendingly by selected column.
- Remove Sorting - this option appears if you applied sorting to a column and it removes sorting for the current column.
- Columns - select columns you want to show or hide from the contacts list.
If your contacts list contains more than thousand items, list will be broken into pages. Use table navigation bar to navigate between pages or to refresh the list.
